Explore's Workspace
The Workspace is the folder and file storage area you land in after logging into Explore or Plan. It is designed to make it faster to organize, find and share projects. This is also where you can set user preferences.
Workspace features
- Folder & file layout for clear, team-friendly organization
- Enhanced search to quickly find and filter documents or folders
- Quick access cards for Recent and Favourites
- Manage, move and rename folders and documents
- Clean layout for faster access to the work that matters
The Workspace
- A new user's drive starts empty. Reports, campaigns, templates and plans are saved here as they are created.
- The landing view shows the most recent and favourite projects, and lets the user switch between the Personal Drive and the Shared Company Drive.
Managing drives
Explore has two drives: the Personal Drive and the Shared Company Drive. The Shared Company Drive is also called the Company Drive or the shared drive; these are all the same drive.
Personal Drive | Shared Company Drive | |
|---|---|---|
Access | Private, only the user | Shared and collaborative, for working with colleagues |
Organization | Folders and sub-folders | Folders and sub-folders |
Move / rename / delete | Full control | Cannot move or delete a file or folder unless you are an admin (protects files from being misplaced or accidentally deleted) |
File ownership has no meaningful function in the Shared Company Drive. A non-admin owner cannot move files out of the drive or delete files from it.
Recycle Bin and document recovery
- Deleted files and folders from both the Personal Drive and the Shared Company Drive are kept in the Recycle Bin for 30 days before permanent removal.
- During the 30 days, users can restore deleted documents directly to their original folder locations.
- In the Shared Company Drive, only a Company Administrator can permanently purge bin items before the 30 days expire. Non-admins cannot purge the Shared Company Drive Recycle Bin; they can only purge the Recycle Bin of their own Personal Drive.
Permissions and sharing
Explore uses a role-based access model across drives and shared items.
- Personal Drive: fully private. Items can be shared with colleagues through the kebab menu by assigning Editor (can edit and reshare) or Viewer (read-only / copy) rights. Shared files appear under the recipient's Shared with me tab.
- Shared Company Drive: owned collectively by the organization. By default all company users hold Editor permissions. Organization Admins (provisioned via Salesforce) have full governance rights, including permanently purging shared bin items and relocating files from the Shared Company Drive back into a Personal Drive.
- Collaborating on the same document: when an Editor opens a report in the Shared Company Drive it is locked for editing. Anyone opening it at the same time gets View-Only mode with an indicator showing who is actively working on it. If the active editor is idle for 5 minutes, Explore releases the edit lock automatically so another collaborator can take over.
Searching the workspace
- Click a table header to sort alphabetically or chronologically, ascending or descending.
- The quick search at the top of the workspace searches your drives by keyword.
- Extra filters refine a search, such as creation date and file type.
Tags and folders (pre-2026 documents)
The old Tagging feature has been retired and replaced by Workspace folders. Existing content is migrated automatically:
- The first tag on each document is used to create a folder path from that tag's hierarchy.
- The document is placed into the matching folder.
- Additional tags are not used and are removed from the Workspace.
Example: a document GenZ-Fashion-Report tagged Season = Winter (tag 1) and Year = 2025 (tag 2) is found under Season / Winter / GenZ-Fashion-Report. The Year tag is dropped.
User preferences
- Open from the Workspace by clicking the settings icon on the left nav bar.
- Sets defaults for each section of Explore. Defaults apply to new reports only and are not retroactive.
- Configurable: default decimal places, default individual Data Items selection and ordering, tablebase settings, and default Chart Width (consistent presentation dimensions for exported and on-screen visualizations).
- Save changes applies the preferences to any new report. Reset to default returns everything to Explore's defaults.
- Totals display (Rows, Columns or Both) can also be saved globally here. See Explore - Report Settings.
